Under the general supervision of the Accounting Manager, this position is responsible for maintaining compliance of grant funding and contracts and overseeing all aspects of compliance, record keeping, and schedules for reports. This position will be guided by and report to the Controller and other senior level staff members when required. WHAT YOU'LL BE RESPONSIBLE FOR DAY TO DAY: Maintain compliance of funds for grants & contracts by overseeing all aspects of compliance, recordkeeping, and schedules for reports. Work with other members of finance staff to maintain budget compliance. Prepare financial reports as required by each grant/contract. Maintain regular budget updates and reports. Access financial information and export to excel to edit/re-work as necessary according to grant budget (which may differ from financial software budget). Ensure fiscal integrity and the appropriate spending of grants and contracts. Review grant expenses in agency's finance system to ensure line items are in compliance with funder's rules for spending and the budget is on track. Ensure compliance with Cost Principles for non-profit organizations from the Office of Management and Budget Circulars. Provide regular updates and reports to program management staff according to grant budget. Monitor progress on grants and contracts ensuring all reporting requirements are met, including fiscal and programmatic goals and outcomes. Solicit regular reports to ensure programmatic goal/outcome compliance. Regularly review and ensure staff time and effort compliance for grants. Work with managers to recommend budget changes for grants. Prepare and submit budget and program modifications as required. Reallocate costs as necessary in accounting system. Assist with allocation planning. Responsible for all funder audits and monitoring visits, ensuring all appropriate program, administrative, and financial staff are prepared and related files are up to date. Responsible for financial reports and records during funder audits and monitoring visits. Edit and/or prepare reports as required by each grant/contract. Edit and submit (or ensure submission) all programmatic reports prepared by program managers/staff. Monitor all reporting and contracts and ensure all documentation is on shared drive to include in protected shared folders as appropriate for the material. Track reporting compliance on reporting spreadsheet. Understand reporting requirements and train grant leads or managers, if necessary, on the evaluation and reporting requirements of their grants and contracts. Review and gain thorough understanding of various grant programs and answer questions/provide staff guidance as needed. Maintain all subcontractor relationships and agreements. Complete grant contract paperwork (obtain signatures, ensure accuracy) and submit to funders. Ensure all files are maintained on grants and contracts and soft copy is on shared drive. Support the grant writing team, including budget development for proposals. Develop grant budget spreadsheets and budget narratives. Assist with development of Annual Report. Provide weekly, monthly, quarterly, annual, and "as needed" reports to management staff and the VP of Finance, Development, and Administration. WHAT YOU MUST HAVE: Bachelors degree in Accounting, Finance, Business Administration or relevant field. Masters, MBA, CPA or other professional accounting license preferred Minimum of five (5) years experience in accounting, non-profit finance, or relevant field. Prior non-profit professional accounting experience preferred. Knowledge and understanding of office management and Budget (OMB) Circulars pertaining to nonprofit organizations preferred Must be able to successfully pass a CORI/Background records check.
