Through the Department of Education Title V Grant. The position will facilitate the enrollment process with specialized advising, degree planning, enrollment activities, and registration for transfer students. The position will serve as a member of the Title V Base Grant Team. The position is a 12-month, full-time position that follows the staff schedule. This position will not be institutionalized. This position is funded in whole or in part, by an external grant and is subject to immediate termination if the grant funding ceases. No employee who is in such a position may file a grievance over the termination of the position. The current funding for this position ends on September 30, 2027. ESSENTIAL DUTIES AND RESPONSIBILITIES: Provides advising to and mentors transfer students for a full year to ensure a seamless transition and to ensure a path to academic success. Advises new transfer students on academic requirements and selection of courses. Works with transfer students, evaluates the number transfer of credits; researches course descriptions to determine transferability, and works to correct in the student management system. Monitors new transfer student registration activities, assists students with degree audits and planners; ensures transfer students create semester-by-semester planner in student online portal. Serves as a point of contact for the program, will answer program questions from faculty, staff, and students, serves as liaison to community agencies, and the general public. Creates specialized transfer document guides and undergraduate major maps. Ensures that transfer guides are maintained and up to date with other colleges and universities. Organizes, develops and conducts relevant workshops, events, speaker events, mentoring initiatives, and other programs to facilitate program outcomes. Assess the transfer experience and create solutions to address common obstacles to successful transition from transfer college. Collaborates with program directors and advising to create clear pathways to the combined degree programs. Develops and presents information at campuses, community events, workshops and other relevant outreach programs. Coordinates the first semester communication plan for new transfer students. Maintains a structured schedule of visits to target Alamo Colleges campuses. Assists with the distribution and collections of data/information for the evaluation of program effectiveness. Assists with the maintenance of student files, program records, program report; and handles documentation and information as sensitive and confidential. Works with the Office of the Registrar to update Alamo Colleges Transfer Articulation Guides (TAGS). Engages with other campus partners to facilitate the academic success of transfer students. Refers students to appropriate resource. Serve as the liaison between Alamo Colleges, the Office of the Registrar, Enrollment Management, and other faculty and staff. Provides in person support at enrollment events, new student events, and orientation events. Attends regular meetings to review progress and address any challenges to progress with the Program Director, and other institutional staff. Performs other duties as assigned. QUALIFICATIONS: Bachelor's degree from an accredited college or university required. Master's degree in education, student development or related field, preferred. 3 years of experience working in academic advising or related registrar office experience is ideal. Must clear and maintain a favorable background investigation and clearance Must have a valid driver's license, motor vehicle liability insurance, and personal injury insurance, or have a self-reliant source of transportation to conduct business on a daily basis Must have the ability to demonstrate intermediate skills in MS Office and Office 365 (Word, Excel, Teams, Outlook and PowerPoint) including experience with virtual platforms such as Zoom, and applicable student activity portal experience (Ellucian Ethos, Ellucian Banner) Must have excellent verbal and written communication skills; strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; ability to work effectively with high school students, parents, school counselors, teachers, faculty and staff. Must have high ethical standards and a strong sense of confidentiality; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; display solid problem solving and interpersonal skills; work well independently and as part of a team; professional demeanor, appearance and strong work ethic required Must have ability to demonstrate attention to detail and be able to organize workflow, coordinate activities, balance simultaneous projects without loss of efficiency in a multi-tasked environment, and manage multiple priorities to meet deadlines Bilingual Preferred (English/Spanish with the ability to understand and to make one's self understood to Spanish speaking individuals) PHYSICAL DEMANDS: Working conditions are in an office environment and university campus setting. Must be able to move across the university campus to conduct day to day business. While performing this role, the employee will be regularly required to sit, walk, and stand; talk and hear, both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems within a timely manner. Constantly operates a computer and other office productivity machinery.
