Alumni Relations Coordinator Position Summary The Alumni Relations Coordinator directs all aspects of the alumni engagement program at Heathwood Hall. The Coordinator is responsible for creating a robust calendar of annual alumni events (both in-person and virtual); ensuring the Development office is in alignment with most recent alumni networking technologies; cultivating the next generation of engaged Highlanders by focusing on young alumni interests and offerings; advising the activities of the Alumni Council, partnering closely with volunteer leadership; and carrying out any other activities associated with day-to-day operations of the alumni engagement area with a focus on alumni engagement metrics. This position is part of the Advancement Office reporting to the Assistant Head of School for Advancement and Enrollment. Essential Functions of the Position Develop a plan of engagement for each year, working with Development and Marketing to enhance alumni engagement, participation, and giving. Plan and execute all alumni events and activities (25+annually), representing both in-person events and virtual offerings. Assist and attend all events in connection with alumni not run by Alumni Relations when alums are involved such as Career Day and Coming Home events. Produce quarterly newsletter, ensure accurate and complete alumni records, and maintain the Alumni social media platforms. Manage the Alumni Council (quarterly meetings) and work to enhance alumni engagement, participation, and giving. Cultivate and steward alumni through personal touches including visits, campus tours, notes, etc. Engage with Alumni and Alumni Parents through special events and email communications. Meet 1:1 with 5 - 8 Alumni monthly to update them on the school and learn more about their Heathwood experience and areas of interest. Provide support to Advancement, Communications, Athletics, and Admissions as needed that may include (but not limited to): invitation design projects, special event support and stewardship initiatives. Identify, research and write alumni profiles and notes for the magazine: 2-3 per year. Ensure Alumni and Development aligns with best practices for alumni networking and engagement, researching new technologies, and educating the alumni body on offerings to assist in connections to classmates and industry peers while focusing on alumni engagement metrics. Maintain a focus on the activities of young alumni to ensure their continued engagement and participation in school activities. Provide relevant opportunities for networking and mentorship. Regularly survey and solicit feedback from this constituency group to ensure the School is meeting its needs. Qualifications Bachelor's degree required and a minimum of 3 years of experience in the development/advancement field (or transferable professional experience) preferred. Experience with independent school education at the secondary or higher education level preferred. Particular consideration will be given to applicants who are Heathwood alumni. Qualified candidates will be able to demonstrate: Exceptional work ethic, professionalism and the ability to work well in collaboration with co-workers and volunteers The ability to give and receive feedback on common projects and tasks. A friendly and collegial attitude and possess a thorough appreciation for the goals and mission of Heathwood Hall and the interests of independent secondary education. Exceptional organizational, interpersonal, and communication skills, both written and verbal. An enthusiasm for and willingness to travel and visit on behalf of the School. The ability to recruit, train, motivate, and retain a corps of committed volunteers. The ability to navigate conflict to achieve successful outcomes. Must be familiar with Microsoft Office and Google products, as well as donor databases (Raiser's Edge preferred). Working Conditions/Physical Requirements While performing the duties of this job, the employee is regularly required to sit, stand, and walk about the campus, and must occasionally lift and move up to 15 pounds.
