General Summary: Under the direction of the Supervisor, Quality Improvement, the Administrative Assistant II provides administrative support to LifeWays' Quality Improvement Department. The Administrative Assistant is responsible for assisting the Quality Improvement staff with the operational functions to ensure the department meets the Michigan Department of Health Human Services (MDHHS), Commission on Accreditation of Rehabilitation Facilities (CARF) and Mid State Health Network (MSHN) standards. Essential Functions: Performs clerical assistance related to Behavior Treatment Committee (BTC) including but not limited to, creating meeting agenda, providing consumer/case information to assigned behaviorist, create review form in LEO, communicate with BTC chair regarding active and on-hold cases as well as cases to be reviewed, attends meeting and takes minutes and routes for signatures. Performs clerical assistance related to Quality Improvement Council (QIC) including but not limited to preparing agenda, attending meeting, taking and distributing minutes and completing any necessary follow up with team members. Assist in Incident Report (IR) reviews that involve out-of-ordinary incidents within the provider network, and follow-up maybe needed. Maintains the scanning of IR submission process by reviewing, coding, and performing follow-up correspondence. Follow-up includes using criteria outlined by MDHHS, Office of Recipient Rights (ORR), Quality Improvement (QI), BTC and Contract Management to identify and determine which IR may require additional review by the CERT, BTC, Contract Management, etc. and/or determine which IRs may include a Recipient Rights violation and refer to ORR for investigation. Responsible for collecting and compiling critical event data from the electronic medical record LifeWays' Electronic Organizer (LEO) onto spreadsheets and submitting data monthly to MDHHS and Mid-State Health Network (MSHN). Reviews and monitors coded IRs for trends. Prepares agenda packets for Quality Improvement & Credentialing (QICR) Committee. Compiles Strategic Plan updates and monitoring for QIC. Distributes correspondence, prepares letters, mailings, schedules appointments/trainings, prepares training material, copying, filing, and faxing. Performs clerical assistance related to Critical Event Reporting Team (CERT), including but not limited to, creating meeting agenda, provides the team members with monthly agenda items and tasks, followed by meeting minutes. Obtaining death certificates and autopsy reports, prepares and monitors follow up correspondence with internal and external stakeholders, attends meeting and takes minutes. These may require travel and generally occur in Jackson and Hillsdale counties, but travel within the State of Michigan may be necessary. Performs clerical assistance related to Data Integrity Group (DIG) including but not limited to preparing agenda, attending meeting, taking and distributing minutes and completing any necessary follow up with team members. Data entry into Substance Abuse and Mental Health Services Administration (SAMSHA)'s Performance Accountability and Reporting System (SPARS). Helps assist in the preparation process for CARF every three years. Reviews reports for accuracy and completeness before submission to the required body. Responsible for scheduling various meetings for Quality Improvement staff. Maintain regular and predictable attendance. All other duties as assigned. Required Education/Certification/Licensure: Associate degree in office technology and/or related field; or equivalent experience. Mental Health First Aid Training, upon hire. Must have reliable transportation Preferred Education/Certification/Licensure: Bachelors degree in related field. MOS (Microsoft Office Specialist) certification or equivalent. CPR, AED, and First Aid Training.
