Job Summary: The Parish Business Administrator (PBA) is responsible for overseeing the day-to-day operations of the parish office staff, collaborating with the Pastor to oversee parish finances, overseeing facility repairs and projects, maintaining accurate financial records, and assisting the Pastor in managing the assets of the parish. This position reports directly to the Pastor and operates with some latitude for the use of independent judgment and initiative. Essential Job Duties: As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of St. Vincent de Paul Catholic Church in both your professional and personal life. Act as a witness to Gospel values by modeling the teachings of the Catholic Church. Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed. Supervise the day-to-day operations of the parish office staff, including direct supervision of the Parish Secretary and Front Office Receptionist. Work with the pastor to formulate, maintain, and execute the parish budget. Maintain accurate financial records for all financial transactions. Provide quarterly financial reports to the Finance Council and attend Finance Council meetings. Maintain Employee Personnel Files in compliance with the policies of the Diocese of Austin. Manage bank deposits and monthly reconciliation of accounts. Oversee facility repairs, routine maintenance, and other facility projects in collaboration with the Facilities Manager. Oversee vendor agreements, contracts, and payments in collaboration with the Pastor. Order necessary liturgical and office supplies. Ensure that the Information Technology needs of the parish are met. Ensure that all employees are paid in a timely and accurate manner. This includes ensuring that all federal payroll taxes are paid correctly and on time. Ensure that Parish Business Operations are in compliance with all city, state, and federal laws in addition to the policies, guidelines, and particular laws of the Diocese of Austin. Respond to all diocesan requests for information, reports, and compliance checks in a timely, efficient, and accurate manner. Serve as Site Administrator for the EIM / Virtus Program for the Diocese of Austin Knowledge, Skills, and Abilities: Must possess required knowledge, skills, abilities, and experience and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed namely: Knowledge of basic accounting practices Knowledge of diocesan policies and procedures as it pertains to the financial management, Human Resources, and administration of a parish. Skill in using office equipment (e.g. copiers, fax machines, telephone systems, laminating machines, postage meters, etc.) Skill in using computers and related software applications (e.g. word processing software, spreadsheets, email, databases, Publisher, Quick Books, etc.). Must have good interpersonal skills. Must have the ability to learn new software programs as needed. Ability to establish and maintain effective working relationships with St. Vincent de Paul staff, clergy, peers, and laity. Ability to supervise employees effectively and professionally. Ability to provide excellent customer service to internal and external customers. Ability to honor and maintain confidentiality. Ability to maintain respect at all times. Ability to work with and lead a highly diverse membership base. Ability to work outside normal business hours including holidays and weekends Ability to follow instructions furnished in verbal or written format. Minimum Qualifications: Education and Training: Bachelor's degree from an accredited American college or university (or equivalent in a foreign country) Experience: Two (2) years or more wage-earning related work experience Five (5) years of experience as Parish Business Administrator in a parish equivalent in size or greater than St. Vincent de Paul may substitute for the educational requirement. Language: English (proficient in conversing, reading, and writing) Catholic Requirement: Must be a practicing Roman Catholic in good standing. Licenses/Certifications: Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) / Virtus policies throughout the employment period. Valid Texas driver's license. Working Conditions: All employees of St. Vincent de Paul Catholic Church are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the Church. Vincent de Paul Catholic Church is an at-will employer, which means employment may be terminated by the employee or employer with or without notice at any time. All buildings and vehicles owned by St. Vincent de Paul Catholic Church are tobacco-free. Working in a fast-paced environment with priorities and plans that may change rapidly. Will be exposed to religious ceremonies, conduct, and speech, including Roman Catholic Christian prayer and liturgical celebrations. Will be required to adhere to established codes and conduct standards, including but not limited to EIM / Virtus standards of conduct in the workplace and outside of the workplace. May be required to use personal vehicles to drive to other parishes or other off-site locations. Traveling within and outside the parish to meetings and other events may be required, and travel may require overnight lodging. Will be required to conform personal and professional activities to be consistent with and supportive of the mission, purpose, and moral teachings of the Roman Catholic Church.
