Job Summary The Tuxedo Club is searching for a professional and customer service-oriented Front Desk Member Services Coordinator to join our team! As the first point of contact for our members and guests, the Front Desk Member Services Coordinator role requires extensive knowledge of the Club's various activities and venues. The ideal candidate is friendly, motivated, and devoted to becoming an integral member of a team that values hard work and attention to detail. During the season, this role is tasked with managing reservations for three different dining venues, member functions, hotel rooms, motorized boats and company passenger van. This role will also develop and manage concierge style service offerings to membership such as facilitating dry cleaning, auto detailing, hotel guest needs for dining, transport, etc. and other services. Additional primary responsibilities include, but are not limited to, answering, and directing calls, and communicating pertinent club information to fellow staff. Greet all guests and job applicants and notify department heads of arrival. Duties & Responsibilities Greet and welcome individuals as they enter the Clubhouse. Answering phones and receiving messages from members and guests. Create and maintain all reservation excel spreadsheets or other reservation software utilized by the Club Taking reservations for various dining outlets and member functions over the phone and through the Club's email. Taking reservations for hotel rooms over the phone and through email and updating the reservations sheet electronically. Taking reservations for the Club pontoon boats and giving basic directions to renters, including the completion of the boat rental sign out form. Ensure after-hours rentals (e.g., boat and hotel) are communicated with the appropriate departments. Knowledgeable of hours of operations for various venues on the property Keeping event information organized and accessible to staff. Keeping an organized and neat desk at all times. Accept or deny incoming deliveries and notify departments of deliveries. Communicate reservation information to the FOH staff. Communicate with departments regarding requests, problems, or comments with other departments. Check in hotel guests and answer questions they may have. Communicate hotel reservations with housekeeping. Ensure nonmembers complete the credit card registration form. Ensure company vehicle and room keys are accounted for and stored properly. Communicate front desk operations with the weekend front receptionist. Perform all other related duties assigned by senior management. Club Website Responsibilities Upload and perform changes to the website including but not limited to events calendar, new pages, accordion folders, content, and menus as directed by Director of Membership. Administer and maintain the dining dashboard including but not limited to: Adding new or editing dining times on the scheduler Adding or editing special events Managing blocked out times Qualifications Previous hospitality concierge/receptionist experience preferred, not required An open and approachable personality with great verbal & written communication skills Positive attitude with strong attention to detail and customer service Energetic & professional team player Ability to work closely and effectively with club management Understanding of time limitations/restrictions related to various tasks and projects Strong organizational, analytical, and detail orientation skills. Ability to maintain confidentiality with all matters relating to the Club, Members and staff Working knowledge of various computer software programs (MS Office, Outlook. Excel, Restaurant management software, POS) Compensation & Benefits Competitive hourly rate based on experience Comprehensive Medical, Dental, & Vision insurance available after 60 days, employer covers 65% of premium & fully funds HRA Paid Parental Leave Eligible for Employee Holiday Fund NY Sick Pay (accrued at 1 hour for every 30 hours worked, capped at 56 hours) Working Conditions General working hours will be Monday through Friday, 9am-5:30pm. Employee may need to walk around the clubhouse or upstairs to the business office in order to complete tasks.
