Position Summary: Responsible for providing a great first impression to all guests, as well as ensuring that all security and guest screening procedures are followed. This position oversees the daily on-site operations of the Receptionist and Guest Service area and serves as the focal point of contact for all guests arriving at our Merritt Island, Florida facility. Essential Responsibilities: Manage all on-site AIRBUS U.S. and AOS Receptionist operations to include, but not limited to, guest services (stowing luggage and coats, and making transportation reservations, etc.) and registration (check-in/check-out) and conference room scheduling. Greet all employees and visitors with a friendly, warm, professional, and courteous manner. Issue the appropriate visitor badge for on-site visitors, while determining the nature of their visit and notifying the appropriate host or other assigned point of contact. Direct new hires and temporary employees to the Security Badge Office to obtain employee badging Answer incoming calls, determine callers' needs, and transfer to the appropriate person or department. Work with AIRBUS U.S. and AOS Executive Assistants to coordinate the preparation and logistics for all site visits (prepare PPE for tours, prepare refreshments and set-up guest Wi-Fi). Receive, sort, and distribute mail. Stock and order office supplies, coffee, and snacks. Schedule and manage the weekly on-site food trucks. Perform other duties as assigned. Supportive Functions: Follow all company safety and security policies and procedures. Report maintenance problems, safety hazards, accidents, or injuries. Perform other reasonable job duties as requested by direct and indirect supervisors. Call security as needed for assistance and following proper escalation procedures. Qualified Experience / Skills / Training: Education: High school diploma or general education degree (GED) is required Experience: Two to three years of relevant experience in a corporate office environment. Knowledge, Skills, Demonstrated Capabilities: Punctual Comfortable multi-tasking and prioritizing tasks without guidance and under deadline Excellent attention to detail, organizational follow through, and ability to work in a fast-paced team environment. Ability to understand, interpret, and follow Corporate Policies and Procedures Ability to use discretion when handling sensitive information. Communication Skills (Spoken, Written, Influencing, Proficiency in Other Languages): Excellent interpersonal and communication skills. Technical Systems Proficiency: Proficient in Microsoft 365 Suite Experience with Traction Guest Visitor Management software desired Travel Required: 10% Domestic Eligibility: US Citizenship Clearance: Must be able to meet eligibility requirements to obtain and maintain a U.S. security clearance of Top Secret. Decision Making, Complexity: Strong conflict resolution, critical thinking, and problem-solving skills Nature of Contacts: Role includes cursory to involved communication with internal and external customers on a daily basis. Physical Requirements: Onsite: 100% Vision: able to see and read computer screen and other electronic equipment with screens, able to read documents, reports and construction drawings. Daily. Hearing: able to hear to participate in conversations in person and via teleconference or phone and to hear sounds including safety warnings or alarms. Daily Speaking: able to speak in conversations and meetings, deliver information and participate in communications. Daily Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment and some tools including production tools such as hydraulic lifts. Daily Carrying: able to carry documents, tools, drawings, electronic equipment up to 30lbs/14kgs. Lifting: able to lift documents, tools, drawings, electronic equipment up to 30lbs/14kgs. Pushing / Pulling: able to push and pull small office furniture and some equipment and tools. Sitting: able to sit for long periods of time in meetings, working on computer. Squatting / Kneeling: able to squat or kneel to retrieve or replace items stored on low shelving. Standing: able to stand for discussions in offices or on building floor. Travel: able to travel independently and at short notice. Several times a month Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and construction areas including uneven surfaces.
