ACADEMIC ADMINISTATOR Essential Duties & Responsibilities Responsible for all aspects of application and admissions process for new students, including financial aspects and billing Responsible for quarterly course registration and ongoing billing Prepare and distribute academic calendar, catalog, registration forms, and handbooks. Coordinate and distribute course materials, evaluations, and grades for classes and supervision. Responsible for scheduling and to distribute materials for hybrid learning, professional development, and special events. Serve as a liaison between directors, course instructors, supervisors, students, alumni and staff. Respond to e-mails, and telephone inquiries, within a timely manner (24-48 hours). Attendance at and participation in regular, ongoing departmental and staff meetings Responsible to periodically review website and to communicate necessary changes to Program Director and Marketing Department Prepare and submit annual Report of accrediting institution; provide necessary support in periodic accreditation reviews (every 5-7 years). Prepare and distribute financial reports to the organization CFO as requested Track and distribute student clinical hours of requirements for eligibility to graduate. Prepare aggregate reports for internal and external use, including accreditation reviews. Access, retrieve and store records according to established file systems Responsible to schedule, organize and prepare for special events (e.g. graduation, orientation, annual faculty retreat, Q&A sessions) Qualifications Some college/Associate's degree preferred, or specialized training or certification in related area, or five or more years of related work experience. Confidentiality and efficiency are important attributes associated with this position. Excellent customer service, organizational, multi-tasking, time management, and interpersonal communication skills. Comfortable using a range of technology for data entry, processing and storage . Proficient in MS Office Suite of Applications or automated departmental systems; including but not limited to Zoom, Teams, Drop Box, SharePoint, OWL. Ability to build and maintain effective working relationships and interact professionally with all levels of directors, board members, staff, interns, and visitors; Demonstrated ability to take initiative, use good judgment, follow through on assigned tasks Work well independently and in a team environment WORK ENVIRONMENT: Work is primarily performed at the main University City Philadelphia office location, and requires a flexible schedule to occasionally include early evening special events. Travel for administrative work is also occasionally expected. Negotiable hybrid work option exists as appropriate and workable.
