The Weatherization Office Assistant is responsible for answering phones, scheduling intake appointments, and screening callers for eligibility, and signing clients up for program services. This position assists intake staff during client intake appointments by reviewing client's documentation and helping educate clients on the weatherization program and its potential benefits. The Weatherization Office Assistant will also perform general office duties. The person in this position must be available to work a 10-hour day, four days a week, Monday through Thursday. Candidates must apply by 4/30/23 in order to be considered for first round interviews. MINIMUM QUALIFICATIONS The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE high school diploma or general education degree (GED) and two years of work experience, with one year in an office related field. KNOWLEDGE, SKILLS, AND ABILITIES Bilingual English and Spanish capabilities are required. * To qualify as bilingual, staff must possess demonstrated abilities to read, write and speak fluently in Spanish and English and pass a bilingual test. Possesses basic proficiency in computers and Microsoft Office products. Pays close attention to the small particulars of the task at hand and carefully reviews work for inaccuracies. Effectively communicates in both oral and written form. Ability to think critically with strong problem-solving skills. Ability to follow verbal and written instructions. CERTIFICATES, LICENSES, REGISTRATIONS Approved Drive Status is required for this position, including a valid driver's license, auto insurance, vehicle for use on the job or access to agency vehicle, and a satisfactory drive record for the previous five years. Candidate must pass a comprehensive MWVCAA background screening prior to employment. This position is subject to MWVCAA's COVID-19 Vaccination Policy. ESSENTIAL DUTIES AND RESPONSIBILITIES This job description is not intended to be all-inclusive. Functions as the first point of contact for the program, receives and routes calls and visitors to the appropriate parties, answers program inquiries, and resolves issues according to program policies and procedures. Thoroughly explains program eligibility qualification requirements to clients and potential applicants as requested. Communicates and follows verbal and written instructions, i.e., program manuals, memos, personnel policies handbook, etc. Assists with client application processing by collecting household information and income documentation; calculating eligibility and answering questions regarding program services; ensures that all required documents are completed. Informs applicants if additional documents are needed and follows through with the pending/denial process. Maintains computerized client database, which includes data entry of client information. Provides information and referrals to Community Service Agencies PHYSICAL DEMANDS Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties and responsibilities. Maintains calm dispositions and regulates emotions when clients, staff, or others may become escalated. Regulates emotions and handles pressure of frequent demands for attention, time and work tasks. Specific vision abilities required by this job include close vision and the ability to adjust focus. Occasionally lift up to 25 pounds. Occasional driving may be required. Manual dexterity for handling office equipment. Potential risk of exposure to COVID-19 and other conditions. Personal Protective Equipment (PPE) such as face coverings may be required. WORK ENVIRONMENT Indoor, office work environment with frequent interruptions and demands. Working with coworkers/clients over the phone and in-person. Occasional noise and distractions in workspaces. Driving in all weather conditions. *COVID-19 Alert: This position includes performing essential services during the COVID-19 pandemic and potential exposure to others who may be infected with the virus.
