SWIM USA is a designer and manufacturer of women's swimwear located in New York City. We are 84 years young and seeking a dynamic Sales Assistant to join our team. Job Summary: To assist in the administration of sales to the Sales Team and VP of Sales & Merchandising Primary Duties and Responsibilities: SALES Sit in sales meetings and documents conversation, decisions made, photographs chosen styles and distributes info to all concerned parties Prepare CAD line sheets of buyers' selections for select accounts Manage new account set ups requirements including set-up forms, vendor agreements, insurance documents etc. Prepare and distribute weekly selling reports for all major retailers Work with Product Mgr. and Shipping Mgr. to ensure compliance with all retailer requirements- packaging materials, tickets, packing etc. Complete retailer-specific requirements such as e-com item info, data entry into vendor portal, item info sheets etc. Fulfill sample requests from accts, including ad, TOP Assist road reps with any special requests Manage Line Sheet and catalog admin including proofing and distribution SHOWROOM Assist merchandiser prep for meetings by gathering samples, prepping CAD sheets etc. Maintain sample lines in showroom, ensure all samples are represented prior to sales meetings Ensure showroom is neat and ready to go at all times and selling tools are always available; i.e. line sheets, catalogs, look books etc. Review model lines for style selection and appearance ORDER ADMINISTRATION Complete bulk orders and forward to Customer Service Prepare and maintain Summary Sheets for each account Review Allocation for any discrepancies and follow up to alleviate problems. Communicate to Customer Service, order changes, confirmation, bulk adjustments etc. Communicate to customer, bulk order and purchase order info and changes Create, distribute and follow up on Work Orders when inventory needs special handling at warehouse Maintain order files for each account with cover sheets, bulks and confirmations in an orderly manner Qualifications/Requirements Education: High School diploma or Bachelor's degree preferred Experience: A minimum of 2 years of sales experience in apparel related field preferred Skills: Must possess computer skills (Microsoft Office Word, Excel, Outlook, etc.) Must be fluent with Excel report design, pivot tables Working knowledge of retail math Must be familiar with office equipment Working Conditions: Hybrid (3 days per week in the office) Travel: O ccasional travel required Physical Demands: Must be able to stand, sit, and walk 8 hours/day Vision requirements correctable to 20/20 vision Note: Manager reserves the right to modify job description base on business need All candidates MUST provide proof of at least 1 (one) COVID vaccination at the time an offer is made, or contact the SWIM USA Human Resources team, if eligible for an exemption.
