Title: Business Services Manager Department: Business Services St. Edward's University of Austin, Texas invites applications for the position of Business Services. The Business Services provides high-level administrative and project support to the Assistant Director of Business Services and the Associate Vice President for Business Services. This position will be responsible for providing support for various Business Services units including auxiliary services and University Risk & Compliance. For consideration, A high school diploma or the equivalent is required. Three years of general office experience. Advanced knowledge of Microsoft Office and Google Suite software programs. Ability to quickly learn new technology and is self-motivated to stay current with emerging technologies. Strong interpersonal and communication skills and ability to establish effective business relationships with internal and external clients and vendors. Ability to self-start, work independently, problem solve, take initiative, set priorities and handle multiple projects efficiently and effectively. Strong interpersonal and customer service skills. Demonstrated ability to build and maintain positive relationships. Demonstrated organizational skills and attention to detail. Ability to handle highly confidential material with discretion. Preferred Qualifications: Associates or Bachelor's degree with coursework in business administration or similar discipline is preferred. Experience supporting business operations in a university or non-profit setting. Familiarity with Banner Finance System. Essential Responsibilities Include: Manage all internal and external invoice payments, deposits, account reconciliations, and other bookkeeping duties related to Business Services and University Risk & Compliance (UR&C) operations. Prepare any reports necessary for processing payment, maintain invoice tracking systems, troubleshoot and resolve any billing-related issues. Assist in the coordination and project management of special projects as assigned. Coordinate the annual insurance policy renewal process, gathering information and documentation from various university departments and individuals as need for the completion of insurance applications. Manage and maintain Business Services and UR&C databases, online platforms, online forms, surveys, tracking systems, records repositories, etc. Troubleshoot and resolve issues with any Business Services and UR&C resources or systems as they arise and provide timely and effective communication to stakeholders about updates, issue resolution, or helpful information and reminders. Maintain Business Services and UR&C websites and all associated resources including forms, waivers, and other Develop and execute strategic communication plans, utilizing all available university communication channels, to educate the community about Business Services and UR&C initiatives, share timely reminders and updates. Organize, schedule, and facilitate meetings and events. Ensure administrative functions are well-aligned and operating efficiently and responsively while seeking continual improvement to best serve the university community.
