Kentucky Organ Donor Affiliates (KODA) is looking for a full time HRIS/Benefits Specialist to join our team! The Specialist is responsible for providing support and administration of Human Resources functions at KODA, including but not limited to the following: HRIS processing of the employee life cycle, benefits inquiries, processing, and required reporting, leave of absence tracking, workers compensation claims, as well as assisting with employee engagement efforts and event coordination. The position will run reports and collect and analyze data. Maintaining strict confidentiality is essential. This position has room for growth into an HR Generalist role. SPECIFIC DUTIES AND RESPONSIBILITIES: Position may involve performing other duties as required, which may not be mentioned below. Specific functions may change from time to time. HRIS Specialist Duties: Supports the Human Resources function by utilizing the HRIS for processing all data entry into the system such as new hire entry, disciplinary action, employee changes, transfers, promotions, terminations, etc. Ensures all required paperwork is included and completed in its entirety for employee files and meeting regulatory requirements. Assists with tracking annual requirements and collecting HR data for reports on employee population and actions to ensure compliance and monitor trends. Provides information for monthly and annual reports as directed. Benefit Specialist Duties: Coordinates all new employee benefit orientation, collects paperwork, and processes with carriers. Collaborates with Finance to ensure monthly benefit billing reconciliation inclusive of new hires and terminated employees are reflected appropriately and timely. Works directly with employees to navigate, troubleshoot, and provide support with any issues relating to employees' benefits. Assists with coordination and communication of annual Open Enrollment meetings. Processes all COBRA administration as required. Provides monthly benefit education for staff. Leave of Absence Specialist Duties: Coordinates leave and accommodation requests including those arising under the Family and Medical Leave Act (FMLA), Workers' Compensation, the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans. Handles appropriate and timely required notifications, including gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, and making final approval or denial decisions, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use. Ensures the accuracy of leave time entered in the payroll timekeeping system prior to each pay run and communicates with employees, supervisors and payroll as needed. Facilitates smooth and timely return to work, relaying communication between employees, their managers and payroll during leave. Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices. Preserves confidentiality of employee medical documentation and files. Other HR Duties: Assists with event coordination and planning for quarterly staff meetings, as well as assisting with coordination of the KODA recognition programs and other related engagement efforts. Ensures timely enrollment of all new hires into recognition program, as well as ensure that records are kept up to date with internal transfers, promotions, status changes and terminations as appropriate. Assists with the facilitation of recognition program rewards quarterly as directed by the Human Resources Manager. Oversees maintenance of employee personnel files ensuring appropriate documents are maintained and filed accordingly. Maintains and processes all tuition reimbursement requests. Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices. Tracks introductory period evaluations and annual evaluations and reports monthly on the status of introductory evaluations ensuring their timely completion and submission. EDUCATION, EXPERIENCE AND TRAINING Education: Some post-secondary education is required. Bachelor's degree in human resources or related degree preferred. Experience: 2-3 years' experience in Human Resources, Office or Administrative Assistant serving in a human resources capacity in a professional environment, or related field required. Relevant demonstrated experience may substitute education requirements. Demonstrated experience and understanding of employee benefits is required. Demonstrated experience with HRIS programs is required. Experience processing leaves of absence is preferred, but not required. Excellent verbal and written communication skills required. Proven ability to organize and prioritize multiple deadlines is required. Must be proficient in Microsoft Office software (Word, Excel, PowerPoint). Licensure, Certification, and/or Registration : Certification in Human Resources is preferred, but not required. MENTAL AND PHYSICAL REQUIREMENTS Physical Requirements This position requires prolonged periods of sitting at a desk and working on a computer. Also requires standing, occasional lifting (up to thirty pounds), finger dexterity, eye-hand coordination, and visual acuity. Requires manual dexterity sufficient to operate phones, computers, and various office equipment. Must have the ability to speak clearly and professionally in order to convey information to employees, vendors, management, among others, both in person and over the phone. Necessary to be able to hear at normal speaking levels both in person and over the phone. Vision correctable to 20/20 is necessary. Skills and Qualifications Ability to work in an independent, self-starting role. Excellent verbal and written communication skills. Excellent attention to detail is essential in this role. Excellent interpersonal and customer services skills. Ability to anticipate the needs of employees and management and serve as a proactive resource. Ability to analyze and use data to gain insight into organizational performance to produce positive change. Ability to plan, organize, and execute complex tasks and projects that require coordination and cooperation among staff members and others outside KODA. Demonstrated ability to organize and prioritize multiple deadlines to keep workflow consistent and meet timelines is required. Ability to work effectively in stressful situations. Ability to deescalate situations in a professional manner. Ability to maintain positive working relationships with staff and members of the management team. Must have demonstrated skills in maintaining confidentiality. WORKING ENVIRONMENT AND CONDITIONS This position involves working primarily within an indoor office environment around general office equipment. This position may involve occasionally working non-traditional hours including evenings and weekends and occasional holidays to ensure continuation of operations. This position requires use of telephone, computer /monitor/ mouse, printer, copy and fax machines, and other general office equipment.
