LOCATION: Wild Horse Pass Corporate Center and Assigned Locations COMPENSATION: $49,700 - $70,000 HOURS OF WORK: 40 hours per week, Full-Time FLSA STATUS: Exempt SUPERVISORY: No REPORTS TO: Director of Operations Position Summary: The Wild Horse Pass Development Authority is a wholly owned entity of the Gila River Indian Community. Fuel Coordinator is responsible for the timely preparation of fuel excise and other related tax returns, reconciliation of associated general ledger accounts, supporting audits, and performing tax related research. Maintains all fuel transaction workflow and works closely with Director of Operations, District Manager, Store Managers, and contractors to resolve fuel pricing and database issues. Assist with coordination of the GRIC Fuel Tax Program in other capacities. Job Duties & Responsibilities: • Timely prepare, file, and pay fuel excise and other related tax returns and reconcile general ledger accounts for assigned jurisdictions. • Ensure reconciling terms are fully documented and resolved in a timely manner. • Support jurisdictional audits by gathering and analyzing data to provide responses to requests from taxing authorities. • Research and stay current on changes and/or updates to both Gila River Indian Community tax laws and regulations for assigned jurisdictions and ensure applicable financial and tax systems are updated according to the Arizona Department of Revenue Tax Exemption Rules. • Provide business support related to taxability and system configuration for fuel related products. • Assist with tax related special projects and required in alignment with Department and company initiatives. • Monitors the performance of the fuel system by ensuring feeds and processes are running as scheduled and performing as expected related to areas of responsibility. • Updates and maintains data integrity within fuel systems. • Reviews daily control reports to ensure timely and accurate processing of transactions. • Identifies, researches, and resolves all processing errors related to areas of responsibility within stated departmental procedures and standards. • Partners with stores to resolve fuel sales, deliveries and inventory matters timely and accurately. • Processes fuel transactions and error corrections. • Identifies, researches, and resolves fuel discrepancies daily. • Invoice reconciliation, responsible for Fuel AP reconciliation, research invoice discrepancies, and contact vendors. • Performs other duties as assigned and deemed necessary. Key Qualifications - Education & Work Experience: • Bachelor's Degree in business, related field preferred, or equivalent experience. • Requires a minimum of 3 years of business experience, motor fuel tax, fuel accounting. • Combination of education and experience will be considered. • Must be at least 21 years of age. • Must possess a valid AZ driver's license and provide proof of past driving record for thirty-nine (39) months from the Department of Motor Vehicles. GRIC driver's permit will be required, drive certification needed to drive all community vehicles. • Must pass pre-employment drug screen prior to assuming position. • Must acknowledge and agree to maintain a drug-free workplace as a condition of employment. • Knowledge and experience working with the Gila River Indian Community or other Native American Community preferred.
