Located in downtown Tampa, the Straz offers a team-based work environment and a full package of benefits for full-time staff including options for health/dental, vision, etc., plus a generous 403(b) plan. Reporting to the VP of Education & Community Engagement, the Education Operations Supervisor provides administrative, clerical, and technical support to the Patel Conservatory, as well as participates in various duties associated with Space and Equipment. The Education Operations Supervisor may also assist with stage managing shows and events for the Patel Conservatory. Essential Functions: Administrative : Maintains scheduling calendar for Master Calendar including, but not limited to, Patel classes, shows, and events. Maintains and assists in the development of Patel Production standard operating procedures. Ensures efficient administration of the Space and Equipment and Producing areas of the Patel Conservatory, including monitoring and ordering office and technical supplies, as needed, and overseeing maintenance logs. Liaison between Education and Facilities, Security, and Straz Production teams. Plans parking and student pick-up/drop-off activities daily. Executes administrative special projects for the VP - i.e., budget planning, event and show plans, etc. Manages Space and Equipment needs: Manages Master Plan logistics Planning moves and temporary classroom spaces, etc. Setting up and tearing down classroom space and rehearsal spaces within the Conservatory. Allocating and maintaining equipment. Assisting the Technical Supervisor with assigned tasks. Budgeting and Financials/Settlements: Works with the Producing Director to prepare contracts for designers, guest artists, and technicians needed for Patel Conservatory productions and events. Works with Patel Conservatory Finance Manager, department heads, designers, and others with production budgets to coordinate the financial settlements for all Patel Conservatory productions and events. This includes: Tracking and coding expenses and receipts. Gathering invoices from other Straz Center departments. Assembling all settlement paperwork according to standard practices for review by the Producing Director and Finance Manager. Tracks all financial transactions for the Producing and Space and Equipment areas of the Patel Conservatory, including assisting the Producing Director with uploading and coding transactions in the purchasing card administration system. Production (as needed): May be required to perform stage management to assigned Patel Conservatory events. May participate in and/or assist in lighting design of specified productions. General Assists in departmental functions and special events and perform other duties when necessary to ensure the overall smooth operation of the department. Assists in covering the receptionist phones as coordinated by the Education Administration Assistant. Minimum Qualifications: Self-motivated with strong administrative and organizational skills, along with close attention to detail and ability to maintain accurate records. Background in technical theater, design, or stage management for theater preferred. Excellent interpersonal, verbal, and written communication skills. Ability to work with tact, diplomacy, and discretion; adept at interacting positively with co-workers and management. Knowledge of the Microsoft suite of business applications, including Word, Excel, Outlook, and PowerPoint. Ability to work some evenings and weekends as needed. Ability to work independently in a dynamic environment. Experience with settlements and financial tracking preferred. Education and Work Experience: High school diploma. Two years' experience in a theatrical and/or educational setting. Two years of stage management and/or design experience preferred. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the functions of this job. While performing the duties of this job, the employee is regularly required to remain in a stationary position and use the telephone. The employee is frequently required to traverse the department; reach and communicate effectively. The employee is frequently required to operate office equipment, such as a computer, telephone, and other office productivity machinery, such as a calculator, copy machine, and computer printer. The employee is occasionally required to set up, position self and work atop equipment necessary for classroom and rehearsal halls. Ability to move event materials or theatrical equipment weighing up to 40 lbs. Work regularly requires traversing and ascending/descending; approximately 50% of performance facility is reachable only by stairs or ladder. Ascend and descend narrow ladders between floors backstage. Ability to identify and communicate audio/visual difficulties occurring during events/productions. Some work may be completed in low light areas and/or areas of restricted access. May operate electrical or sound equipment. Position occasionally requires work in areas where hazardous materials (e.g., spray paint or cleansers) are present. Special Conditions of Employment: The nature of this job requires the employee to work on-site as a regular work routine. COVID vaccination preferred. The David A.
