Title: Director, Meeting PlanningLocation: US-FL-St. Petersburg-Saint PetersburgOther Locations:Position summary:Responsible for leading a center-led meeting planning function. Oversee the strategic planning of meetings and events and under limited direction with a high-level of autonomy, use extensive knowledge and skills obtained through education, background and certification to lead a team of approx twenty-five (25) individuals who are responsible for planning, arranging and managing international and national events. Responsible for developing new capabilities, implementing improved processes and leading cross functional planning and execution teams. Responsible for overseeing successful coordination of domestic and international conferences involving senior management, associates and clients, sometimes across business areas. Detailed business knowledge required to appropriately select venue, manage lodging and set up conference program including individual meetings at the conferences. Independently leads complex event planning projects and manages staff including varying levels of meeting planners.Essential Duties and Responsibilities:- Ensures that effective relationships are maintained between the meeting planning group, internal customers and vendors. * Collaborate with meeting stakeholders to determine possible site locations, timing of events based on business plans, managing venue search/selection and contract execution. Collaborate closely with stakeholders on all qualifications and provide service level agreements for any/all projects.- Certified Meeting Professional (CMP) as appropriate for assigned functional area.- Prepares and presents reports on meeting and event planning progress and completed event summaries.- Performs other duties and responsibilities as assigned.Educational/Previous Background Qualifications:- Interact with key stakeholders from supporting business areas to manage key changes across all channels with successful outcomes. Direct and lead the Meeting Planning team. Budget Management - approximate spend is $20MM. Oversee the development of plans and execution of plans within budget.- Focuses on all corporate financial expectations, compliance and business objectives and ensures that meeting needs are being met while providing cost savings to the company and maintaining consistently high levels of service. A key focus will be to realize savings from current spend run rate.- Creates and manages event budgets and provides financial reports of event expenditures.- Bachelor's Degree (B.A.) in a related discipline and a min of ten (10) years of progressively responsible background in planning, arranging and managing large, high profile events preferred. A min of 5 (5) years of managing a meeting planning team is required.~or~- Prepares and delivers written and oral presentations about international & national event plans and logistics to internal customers.- Maintains and enhances all technology needed for effective meeting planning as required including periodic updates to on-line conference registration software. Stays current with available technological advancements in the meeting planning industry.- Oversees final bill reconciliation and works with internal resources on bill payment process and internal financial approval process.- Effectively introduce, implement and lead a center-led meeting planning function.- Evaluates and recommends conference service vendors such as web casting provider, audio/visual provider, and major entertainment providers to internal customers and communicates with meeting facility.- Establishes, communicates and monitors division-wide adherence to departmental and firm policy and procedures regarding employees hosting or attending events; including insurance, procurement & corporate travel procedures.- Oversees the research (RFP's), planning and execution of team meetings, events and conferences.- Certified Meetings Management (CMM).- Ensures that reservation cut-off dates and deposits are tracked and managed to avoid financial penalties.- Coaches and mentors subordinates, identifies training needs and recommends development programs.- Develops and maintains productive relationships with hotels, conference centers, event facilities and 3rd party suppliers.- An equivalent combination of education, training and/or background approved by RJF Executive Committee.
