Job Summary The Conference Services Manager (CSM) is responsible for establishing and ensuring a consistently warm, welcoming, and professional atmosphere for all employees and visitors at BNY Mellon. The CSM should be skilled in running a conference center and have extensive experience in managing corporate meetings and collaborating with cross-functional departments. The person in this role should have experience with opening new or renovated conference space and able to implement specific operational models focused on conference services. The CSM oversees the coordination and support for all events and meetings, in addition to supporting the day-to-day operations of the office, including lobby & reception duties when needed. Key Responsibilities: Acts as overall Hospitality Services resource to guests, visitors, and employees. Oversee day to day operations for Conference Center and lobby (6 team members) of two corporate buildings, managing schedules and coverage Responsible for building, developing and training a team from the ground up for new operation Will create standard operating procedures, forming policies, and developing operational models Responsible for creating and managing the daily/weekly schedule assuring appropriate coverage during breaks and call outs. Adept at handling high-profile clients while maintaining operations standards Facilitates requests and planning for other BNY Mellon business lines to use onsite facilities for client or internal events. Communicating requests to the appropriate internal support departments. Ensure knowledge of proper escalation procedures Works closely with the US General Manager, client contacts, and building personnel, ensuring smooth transitions at each stage of the operation. Ensure adherence to the existing US SOPs and operation guidelines Liaison to IT team to ensure maintenance of AV services. Collaborating with vendors on site, such as facilities, regarding issues and following up when necessary Follow all safety procedures to ensure a safe working environment, including a thorough understanding of the Firm's emergency services Providing tours of facility when needed for clients or visitors from other areas of BNYM. Key Competencies: A passion for delivering the Platinum Service and Service Excellence Standard. A consistently professional approach, including a strong sense of self- respect and integrity, as well as respect for and interest in others. A mindset to take ownership and responsibility within and outside one’s job domain maintaining composure during pressured times College degree preferred. Three years’ experience in a hospitality / Conference Service management role Prior experience with new site openings, hiring and training new associates Knowledgeable in booking reservation systems Advocate for innovation, constantly seeking new ways to improve quality, services and amenities offered to guests. Excellent listening and oral communication skills. Advanced computer skills and knowledge of office technology / equipment. Self-confidence, willingness to learn, and feeling comfortable with change and coordinating change.
